Team Kit Ordering Services: Ordering Plan, Layout Design, Roster Lock, Production and Team File
Five services cover a team order from the first message to next season's reorder, with the Programme Coordinator as your single contact across all five.
-
01
Ordering plan
The Programme Coordinator reviews your team size, team type and design, and within 48 hours sends the ordering path, the pieces to include, and the dates for proof, ordering window, roster lock and delivery. For a reorder, the plan starts from your team file and the proof already signed in it.
-
02
Kit layout design
The Kit Layout Designer lays out colourway, sponsor zones, crest and number rules across all six pieces from your vector files. Your team manager signs the layout proof before any rider enters a size. A sponsor change in a later season is redrawn on the affected pieces and signed again.
-
03
Size collection and roster lock
The Order Desk opens a roster link or private team store and checks every entry for duplicate numbers and missing riders. On the close date it locks the roster with your team manager's signature. New riders and size changes after lock go into the next ordering window.
-
04
Production and packing
Bulk production takes 20–30 days from roster lock, or 12–15 days on rush, with sizes mixed freely within each style and colour. The Packing Lead bags each rider's kit with name and size, signs the packing list, and ships the whole team to your team manager.
-
05
Team file and reorders
At season close the Programme Coordinator signs a team file record: colour parameters, layout proof version and that season's locked roster. Your next order opens with returning riders' details already filled in, so the team only updates new riders, size changes and leavers.
Programme Set-Ups for Clubs, Corporate Groups, College Teams and Federations
Each programme is set up around the way your team orders. All four client types work with the same four programme roles and receive the same four signed documents.

Bib shorts, bib tights and chamois garments: development and sampling
Your team supplies a reference specification, including the pad, and the garment is developed and sampled to it as a separate project with its own schedule, run through procyclingapparel.com.
Race squads that want bib shorts in the same colourway raise it in the first message. The ordering plan then shows the six-piece kit on its programme schedule and the bib development as its own line.
Four Programme Roles and the Document Each One Signs
Four named roles run your programme, and each signs the document it owns, so your team manager knows who stands behind every document in the file.

Layout Proof: Sponsor Zones, Crest and Number Rules Signed Before Ordering Opens
The Kit Layout Designer builds one proof covering all six pieces from the vector crest, sponsor logo files and number rules your team sends. Your team manager signs it before any rider enters a size.
The proof sets, piece by piece:
- Colourway
- Where each team colour sits on each piece, with the colour references that go into your team file.
- Sponsor zones
- Chest, back, sleeve and side zones, each one named, with the logo assigned to it and its printed width and height.
- Crest
- Position and size on every piece that carries it, from the jersey chest to the cap front.
- Number rules
- Font, colour, position and the number range your team uses, so every rider's number can be checked against it.
- Decoration
- The method for each mark: full sublimation, heat transfer, embroidery, reflective print or silicone grip.
Sponsor ranking is fixed on the proof
Your main sponsor's zone and the zones for secondary sponsors are set before production, so the kit carries the layout your sponsors approved. Sponsors check their logo position and size on the signed proof before printing starts.
Every later step works from the signed proof
The Order Desk checks riders' numbers against its rules, and the Packing Lead packs against the pieces it lists. A delivered logo in the wrong zone or at the wrong size is checked against the signed proof. Members see the finished kit, piece by piece, before they order.
Re-signed on every change, every version dated
When a sponsor or the crest changes in a later season, the proof is updated and your team manager signs it again. Each version is kept in your team file with its date, and your team manager keeps the signed copy.
Programme Scope: Our Tasks and Your Team's Inputs
We run, from first message to delivery
- The 48-hour ordering plan and the dates in it.
- The layout proof for all six pieces, and updated proofs when sponsors change.
- The roster window or private team store, with entry checks and the roster lock.
- Production of the full order.
- Rider-by-rider packing and shipment to your team manager.
- The team file, kept for the next season.
Your team provides
- Crest and sponsor logos as vector files.
- Sponsor approval of the layout proof, where your sponsors ask for it.
- The date you need the kit in hand, so the roster window can be set against it.
- Your team manager's signature on the layout proof and the locked roster.
- One delivery address for the whole team.
Roster Collection and Lock: Every Rider's Name, Number and Size on One Signed List

The list stays fixed after lock.
On the close date your team manager reviews the full list and signs it with the Order Desk. The locked roster goes to production, and the Packing Lead packs against it line by line. A new rider or a size change goes into the next ordering window, on the same layout proof.
Your team manager keeps the locked roster, signed on the close date, and can show any member exactly what they entered and when the list closed.
Team File: Colour Parameters, Layout Proof and Roster Kept on Record
The Programme Coordinator signs a team file record at the close of each season. It holds three things.
What the team file holds and what each record is used for
- Holds
Colour parameters
Used forThe print reference for your team colourway in every later run.
- Holds
Signed layout proof
Used forKept with its version and date.
- Holds
Locked roster
Used forThat season's roster, rider by rider.
Held under your team's name
The file is kept under your team's name, and your team manager holds a copy. When a new manager takes over the team, they work from the same file.
Every later order starts here
Printing runs from the stored colour parameters, so next season's colourway matches this one. Your team manager can open the copy at any point to see which layout version and which roster the last order ran on.
Colour work across different fabrics is covered on procyclingapparel.com.
Season-to-Season Reorder: Updates for New Riders, Size Changes and Leavers
The Order Desk opens a reorder window with every returning rider's name, number and sizes already filled in from last season's locked roster. Your team only works on what has changed.
What changes between seasons and how each change is handled
- Change
New riders
What happensOnly new riders go through first-time entry: name, a free number within the proof's range, and a size for each piece. - Change
Size changes
What happensReturning riders see last season's sizes and confirm them, or change the pieces that no longer fit. - Change
Leavers
What happensYour team manager marks riders who have left. Their lines come off the roster and their numbers become free for new riders.
The Order Desk checks every reassigned number for duplicates before the lock. The layout proof and colour parameters carry over from the team file unchanged, unless your team asks for a change.
The updated roster is locked and signed on its close date. Your team manager receives it next to last season's version, with every changed line marked.
Start from your current kit
To start a reorder, send photos or design files of your current kit with your team size and team type. Within 48 hours you receive an ordering plan with the ordering path, the pieces to include and a delivery schedule for your next season.
Club Reorder: 24 Riders, 5 New Entries and 3 Size Changes in the Second Season
- 24
- riders in the club
- 5
- new-rider lines
- 3
- size-change lines
- 2
- seasons on one colourway
A North American amateur cycling club of about 24 riders ordered jerseys, gilets and jackets in its colourway and sponsor layout in its first season, and its team file was set up at season close.
The next season's reorder opened from that file. The Order Desk handled 5 lines for new riders and 3 for size changes, and every other rider's entry carried over as it was.
The club has run on the same colourway and sponsor layout for 2 seasons. Its members check their saved sizes at each reorder, and its kit manager reviews the changed lines before signing the lock.
Sponsor Change Between Seasons: One Zone Redrawn and Signed Again
The Kit Layout Designer places a new sponsor into an existing zone on your layout proof. The rest of the kit stays as it is.
- 1
Send the logo, name the zone
Send the new sponsor logo as a vector file and name the zone on your layout proof that it replaces.
- 2
Only the pieces carrying that zone are redrawn
The colourway, crest, number rules and every other zone come from the team file as they are, so riders who keep last season's gilet still match the new jersey everywhere outside the changed zone.
- 3
The updated proof marks the change and is signed again
The updated proof marks the changed zone against the previous version, and your team manager signs it. The team file keeps both versions with their dates, so the season each sponsor appeared in stays on record for your sponsor reports.
Packing Rider by Rider Against the Locked Roster
Each bag, name and size traces back to a signed line.
A rider who ordered a jersey only receives a bag with one piece. A rider on the full kit receives all six in one bag.
Your team manager hands out bags by name at the next club night or training session, and checks the packing list against the locked roster.
- 1
Packed line by line
The Packing Lead packs your order line by line from the locked roster. Each rider's pieces go into their own bag, labelled with the rider's name and size.
- 2
List signed after the last bag
Every bag has a line on the packing list. The Packing Lead signs the list once the last bag has been checked against the roster.
- 3
Ships to one address
The whole team ships together to your team manager's address.
Delivery Schedule: 20–30 Days Bulk and 12–15 Days Rush From Roster Lock
Every team kit is made to order from your signed layout proof and locked roster. Bulk production takes 20–30 days from the roster lock. Rush production takes 12–15 days.
The Programme Coordinator works the ordering plan back from the date you need the kit in hand, whether that is your first ride, first race or intake week.

Kit Issue Reports: Photo Review Against the Signed Proof and Locked Roster
Your team manager sends photos of any piece that looks wrong to the Programme Coordinator, and gets a reply within 24 hours on working days.
The Programme Coordinator checks each reported piece against the two signed documents
How a reported kit issue is decided
- FindingDiffers from the signed proof or locked roster: a logo in the wrong zone, a wrong number, a size other than the one lockedOutcomeRemade and shipped with the nearest production run, at no charge
- FindingMatches the signed documents, with the rider having entered the wrong sizeOutcomeThe new size goes into your next ordering window as a normal order
Both documents carry your team manager's signature, so every decision is made against documents your team already holds, and your team manager can show any member how the decision was reached.
College Team Intake: 40 Riders and 14 New Sizings Each Academic Year
A university cycling team of about 40 riders takes on around 14 new riders every year through first-year intake and transfers, so 14 riders need sizing from scratch at every intake.
The Order Desk opens the team store each intake season. New riders go through first-time size entry. Returning riders see last year's sizes and confirm or adjust them, so the whole team is locked on one roster in one window.
The Order Desk checks every new rider's number against the returning riders already on the roster before the lock. The team has ordered on the same colourway, registered in its team file, for 3 academic years, and each year's order starts from the file the previous year left.
- 40

- 14
